We want you to be completely confident in choosing VaidyaOne. Our refund policy is designed to be fair, transparent, and easy to understand — no hidden terms, no fine print traps.
14-Day Free Trial
Full access to all plan features. No credit card needed. No commitment.
Monthly Plans
Cancel anytime. No refund for the current billing month — access continues until month end.
Annual Plans
Cancel within 30 days of payment for a pro-rata refund. After 30 days, no refund for the remaining term.
Data Export
30 days to export all your patient records in FHIR R4, JSON, or PDF after cancellation.
14-Day Free Trial
- All paid plans (Starter, Growth, Professional) include a full 14-day free trial
- No credit card or payment information required to start the trial
- You get access to all features of the chosen plan during the trial period
- At the end of the trial, you must add payment details to continue — we will send a reminder 3 days before trial expiry
- If you do not add payment details, your account enters read-only mode — existing records are preserved for 30 days
- Unused trial days are not transferable and cannot be extended
Monthly Subscriptions
- Cancel anytime from Settings › Subscription — no questions asked, no cancellation fees
- Cancellation takes effect at the end of your current billing month
- You retain full access to all features until the billing month ends
- Downgrading to a lower plan takes effect from the next billing cycle
No partial-month refunds
Monthly subscription fees are not refunded for the current billing month, regardless of when in the month you cancel. This applies even if you cancel on day 1 of the billing cycle.
Annual Subscriptions
- Cancel within 30 days of your annual payment to receive a pro-rata refund for unused months
- Pro-rata calculation: refund = (annual price / 12) x unused complete months remaining
- If you cancel after 30 days from the annual payment date, no refund is issued for the remaining term
- You retain access until the end of your paid annual period regardless of when you cancel
- Upgrades within an annual plan are prorated immediately — you pay only the difference
Example: Annual Refund Calculation
- After 30 days from annual payment: no refund for the remaining subscription term
- Annual plan discounts (15% saving) are not carried over to a monthly plan after downgrade
Enterprise Plans
Enterprise plan refund and cancellation terms are governed by your signed Enterprise Agreement (MSA). Contact your dedicated Account Manager or email enterprise@vaidyaone.com for details.
How to Request a Refund

Cancel your subscription
Go to Settings › Subscription in your VaidyaOne dashboard and click “Cancel Subscription.”

Email your refund request
Send an email to hello@vaidyaone.in with subject line “Refund Request — [Your Clinic Name]”. Include your registered email address and the reason for cancellation.

Eligibility verification
Our team will verify your refund eligibility (annual plan + within 30 days of payment) and respond within 2 business days.

Refund processing
Approved refunds are processed to your original payment method within 7–10 business days. You will receive a confirmation email when processed.
Data Export After Cancellation
- After cancellation, you have 30 days to export all your clinic and patient data
- Export formats available: FHIR R4 JSON bundles, PDF summaries, CSV (appointments/billing)
- Use Settings › Data Export or contact support for bulk export assistance
- After the 30-day export window, all data is permanently and irreversibly deleted per our Privacy Policy
- We strongly recommend downloading your data before the expiry date — we cannot recover deleted data

Non-Refundable Items
- Current monthly subscription fees (no partial-month refunds)
- Annual plan fees when cancellation is requested after 30 days from payment
- One-time setup or onboarding fees (if applicable)
- Add-on module fees where the add-on has been used during the billing period
- SMS or WhatsApp credits consumed through MSG91
- Accounts terminated for Acceptable Use Policy violations
GST on Refunds
GST collected on subscription fees is remitted to the Government of India and cannot be refunded by VaidyaOne. The refund amount will reflect the subscription fee net of GST. A GST-compliant credit note will be issued for your records.
